A printed QR code sign for a digital event program posted at a high school soccer game
This is what the QR code sign looks like in use: one printed code at the venue opens the whole program on any phone.

Getting Started

What is Event Program Generator?

It's a tool for creating a digital "program" for an event — a roster, senior spotlights, sponsors, a schedule, and links — that visitors can pull up on their phone by scanning a single QR code. No app, no printing a program for every attendee.

Who is this for?

Anything with a roster, a schedule, or sponsors to thank works well: sports teams, concerts, drama and dance productions, band and choir programs, banquets, and school or club events.

Is this free to use?

Yes. Every program starts on the Free plan with full functionality — roster, spotlights, sponsors, schedule, links, a free-form Details section, and the QR invite page are all included at no cost. Pro is an optional per-program upgrade (see "Free vs. Pro" below) for a few extras.

Do I need to install an app to create or manage a program?

No — everything is done from your web browser, on desktop or mobile.

Do the people viewing my program need to create an account?

No. Your program's public page is just a regular web page. Anyone with the link or the QR code can view it instantly — no login, no app, no account.

How do I create my first program?

Register for a free account, click "Create Program," and fill in the basics (title, sport or event type, colors). We automatically set up a roster, spotlights, sponsors, schedule, and links section for you, along with a few starter roster fields and spotlight questions you can fully customize afterward.

Is there a guided setup to help me build my first program?

Yes — a new program opens straight into a step-by-step Setup Wizard that walks you through each section one at a time instead of dropping you on the full management page all at once. You can pick which sections to include, reorder and rename them right from the first step, and everything you add along the way is saved for real, not held in some temporary wizard-only state. You can reopen it any time later from your program's page.

Why not just make a program in Canva and print it?

A Canva template is a fine way to make one nice printed page, and printing is still the right call if you want a keepsake. The difference is what happens after it's printed: a game moves, a name is misspelled, a sponsor signs on at the last minute, and every printed copy is wrong. With a digital program you change it once and everyone who scans the QR code sees the update. You also skip paying for a print run, and you get a ready-made roster, spotlight, sponsor, and schedule layout instead of laying every page out by hand. If you still want paper for some guests, the Pro plan can export the whole program as a printable PDF, and the free QR invite page prints a ready-to-hang sign.

Will families and fans actually scan a QR code?

Any modern phone camera opens a QR code straight in the browser, with no app to install and no account to create, so scanning takes a few seconds. We can't promise how many people at your event will scan, which is why the QR code is easy to print large and post where people already look (the entrance, the concession stand, the scorer's table), and why you can also text or share the link directly. Pro programs include a scan counter so you can see how many people actually used it.

Is this a good fit for a conference or a large multi-day event?

Probably not. Event Program Generator is built for school teams, productions, and community events: a roster, spotlights, sponsors, a schedule, and links, shared with one QR code. If you're running a multi-track conference with attendee networking, live polling, or session registration, a dedicated event-app platform will fit you better.

Free vs. Pro

What's the difference between Free and Pro?

Free includes every content section (roster, spotlights, sponsors, schedule, links, and a free-form Details section) with up to 100 people on the roster, the QR invite page, and — for a limited time while we're just getting started — a custom header image too. Pro adds unlimited roster size, unlimited team collaborators, scan and click-through analytics, and a photo gallery section, and removes the "build your own program" promo section shown to Free visitors.

What exactly is included in the Pro service?

Unlimited roster size (Free is capped at 100 people), the ability to invite collaborators to help manage the program, a 30-day scan analytics chart plus sponsor/link click-through counts, a photo gallery section for event/action photos, and removal of the sign-up promo section shown to Free visitors. A custom header photo/banner (with a focal-point picker so you control how it crops) is normally a Pro feature too, but it's currently free for every program while we're just getting started.

How much does Pro cost?

Pro is priced per program, not per account: $5 for one month, $10 for three months, or $25 for a full year — each longer plan works out cheaper per month than the last.

Is Pro a recurring subscription?

No. Pro is a one-time payment for a fixed period of time. Nothing renews or charges automatically — when the period is up, you can choose to pay again to extend it, or simply let it lapse.

Do I lose my information when my program's Pro status expires?

No — nothing is ever deleted. Your roster, spotlights, sponsors, schedule, links, Details content, and gallery photos all stay exactly as they were. The only thing that changes is that Pro-only features (extra roster slots beyond 100, analytics, collaborators, the gallery) stop being available and the "build your own program" promo section reappears, until you renew. The custom header image is currently free for every program regardless of tier, for a limited time, so it isn't affected by this.

What happens right when my Pro period runs out?

Your program automatically reverts to Free behavior. If you had more than 100 people on the roster, everyone already added is kept (nothing is removed) but you won't be able to add new ones until you renew or trim your roster back under the limit. A banner on your program page will let you know your access has ended and link you straight to renewing.

Can I upgrade just one of my programs without affecting the others?

Yes — Pro is applied per program, deliberately. If you manage multiple teams or events, you can upgrade just the one that needs it (say, for the current season) without paying for or affecting any others.

How do I renew or extend Pro?

From your program's page, click "Renew or extend" (or "Upgrade to Pro" if it has lapsed) and choose a duration. If you renew before your current period ends, the new time is added on top of what you have left rather than wasting it; if you renew after it has lapsed, the new period starts from the day you pay.

Can I pay for a full year at a discount?

Yes — the 1-year option ($25) works out to roughly half the per-month cost of paying monthly, and the 3-month option is already discounted versus paying for three separate months.

Customizing Your Program

Can I reorder the sections on my program page?

Yes. On your program's management page, drag the sections (Roster, Spotlights, Sponsors, Schedule, Links) into whatever order you like — the public page and its navigation bar update to match immediately.

Can I change the name of the sections?

Yes. Every section can be renamed to whatever fits your group — for example, a band might rename "Spotlights" to "Featured Musicians," or "Sponsors" to "Our Supporters." The new name shows up everywhere: the public page, its navigation, and your management screen.

Can I hide a section I'm not using?

Sections with no content simply don't show up on the public page or in its navigation — you don't need to do anything extra to hide an empty Sponsors or Links section, for instance.

Can I change the colors of my program?

Yes — you can set a primary and secondary color for your program, used for the header, accents, and section dividers on the public page.

Can I customize more than just the primary and secondary colors?

Yes — beyond Primary and Secondary Color, you can also set a Header Text Color, a Body Text Color, and the page's own Background Color, so you're not limited to just two colors if you want more control over the palette.

Is there a faster way to theme my program than picking every color myself?

Yes — Theme Presets apply a complete, ready-made combination of colors and font in a single click, including a couple of elegant script-font presets designed with weddings in mind. Nothing is saved until you click Save Changes, so you can try a few before committing, and a "Reset to Defaults" button undoes any of it just as easily.

Can I change the font of my program's title?

Yes — you can pick from a curated set of fonts (elegant serif, bold and modern, or script and handwritten styles) for just your program's big title. The rest of the page stays in our easy-to-read default font regardless, since a striking display font that looks great as a large headline is often hard to read at smaller sizes.

Can I add a background image to my entire program page, not just the header?

Yes, and it's available on both Free and Pro. Upload a photo or pattern and it fills the page behind everything, with your content sitting on a clean, readable card on top so the photo never interferes with reading the roster, schedule, or any other section.

Can I darken or lighten my background photo, or add blur?

Yes — a black or white tint at whatever opacity you choose, plus an independent blur slider, let you adjust how a background photo looks without needing to edit and re-upload it yourself. Both have a live preview right on the edit page, so you can see the effect before saving.

Can I use my own logo?

Yes. Upload a logo and it appears next to your program's title on both the public page and the printable QR invite page.

Can I upload a header image?

Yes — and it's free for every program right now, for a limited time while we're just getting started (normally a Pro feature). You can upload a photo to replace the plain colored header — either as a full-width banner above the title, or as a darkened background behind it.

Can I control which part of my header photo is shown?

Yes — since photos get cropped to fit the header, you can click anywhere on the full photo to set the focal point that should stay visible, rather than always cropping to dead-center.

Can I add a photo gallery to my program?

That's a Pro feature. You can upload a batch of photos at once, optionally organize them into groups, and add a caption to any photo — they show up in a grid on your public program page.

Roster

Can I import my roster instead of adding people one at a time?

Yes. Upload a CSV file, and you'll get to map its columns (name, jersey number, and any custom fields you've set up) to the right fields before anything is imported, so you can fix any mismatches first.

Is there a limit to how many people I can add to the roster?

Free programs are capped at 100 people on the roster. Pro programs have no limit. Anyone you've already added is never removed if you're downgraded or your Pro access lapses — the limit only blocks adding new people.

Can I upload photos for the roster?

Yes — each person can have a photo, shown as a small circular avatar next to their name on both the public roster and your management page. Viewers can click a photo to see it full-size.

Can I customize what information shows for each person?

Yes. Instead of fixed columns, you define your own roster fields (Role, Hometown, or anything else relevant to your group) from a "Customize Fields" screen, and the Add/Edit form updates to match.

Can I organize my roster into groups?

Yes — you can create groups like "Freshmen / Sophomore / Junior / Senior" or "Varsity / JV" and assign each person to one. Groups display as labeled sections on the public roster and can be drag-reordered.

Can I mark team captains or seniors?

Yes, both are simple flags on each person, and both show a small badge next to their name on the public roster.

Spotlights

What are Spotlights?

A section for highlighting individual members with a photo and short Q&A-style answers — originally built for celebrating graduating seniors, but usable for anyone you want to feature (which is why the section can be renamed to whatever fits, like "Featured Musicians" or "Player Spotlights").

Can I customize the questions asked in a spotlight?

Yes — from a "Customize Questions" screen you can add, remove, reorder, or reword the questions each spotlight answers (favorite memory, future plans, or anything else you choose).

Can I upload a photo for each spotlight?

Yes, each spotlight entry supports a photo, shown alongside their answers on the public page.

Can I organize spotlights into groups?

Yes, the same custom-grouping feature available for the roster is available here too.

Sponsors

Can I add sponsors to my program?

Yes — each sponsor gets a name, an optional logo, and an optional website link.

Can I upload sponsor logos?

Yes, and each logo links out to the sponsor's website if you've added one.

Can I organize sponsors into tiers or groups?

Yes — create your own groups (for example, "Gold / Silver / Bronze," or whatever tier names make sense for your program) and assign sponsors to them; they display as labeled sections on the public page.

Is there a limit on how many sponsors I can add?

No — sponsors aren't limited on either Free or Pro.

Schedule

Can I add a schedule of games or events?

Yes — each entry has a title (e.g. "vs. Central High"), date, time, location, and whether it's home or away.

Can I show results or scores?

Yes, there's a result field you can fill in after each event.

Can I hide the results column from viewers?

Yes — there's a toggle on your program's edit page to hide the Result column on the public schedule (your own management view always shows it to you regardless).

Can I organize my schedule into groups?

Yes — for example "Regular Season" vs. "Playoffs." Unlike the other sections, events within a group always sort chronologically by date rather than by manual drag order, since a schedule's natural order is already its date.

Order of Events

What is the Order of Events section for?

A manually-ordered list for things that follow a specific sequence rather than a calendar of dates — think "Processional, Vows, First Dance, Cake Cutting" for a wedding, or a concert's set list. Each entry has a title and an optional description, and you drag them into whatever order they actually happen in.

How is Order of Events different from the Schedule section?

Schedule is for dated events (game days, concert dates) and always sorts automatically by date. Order of Events has no dates at all — it's purely about sequence, so you control the order yourself by dragging entries into place.

Can I organize Order of Events into groups?

Yes — for example "Ceremony" and "Reception" as two separate groups, the same custom-grouping feature available for the roster and other sections.

Is Order of Events a Pro feature?

No — like Links, it's available on both Free and Pro at no extra cost.

Sharing & the QR Code

How do people actually view my program?

Once you publish your program, it gets a public web address you can share directly, or share as a printable QR code that opens the same page when scanned.

Where do I find and print my QR code page?

From your program's page, click "QR Code Page" — it opens a print-ready page with your logo, program title, and a QR code, sized to print and display at your venue.

Can I share a direct link instead of a QR code?

Yes — the "View Live" link on your program page is the same public URL people would reach by scanning the code, so you can text, email, or post it directly.

Can I see how many people scanned the QR code?

That's a Pro feature — a 30-day chart on your program page shows scans per day. It specifically counts visits that came in through the printed QR code, not every visit to your page (like your own "View Live" clicks), so the numbers reflect real foot-traffic engagement at your venue.

Does scan tracking count every visit to my program page?

No — only visits that came in through the QR-encoded link are counted as "scans." Someone opening your program from a text message or a shared link isn't counted the same way, so the chart reflects QR usage specifically, not overall traffic.

Can I see how many people clicked on a sponsor or link?

Yes — that's a Pro feature alongside scan analytics. Your program page shows a breakdown of clicks per sponsor and per link, so you can see which sponsors and links are actually getting engagement from visitors.

Team Collaboration

Can I invite someone else to help manage my program?

Yes — from the Team section of your program page, enter a collaborator's email and they'll get an invitation to accept.

Is collaboration available on the Free plan?

No, inviting collaborators is a Pro feature. A program you already invited collaborators to before downgrading keeps them; the limit only blocks sending new invitations on Free.

What can a collaborator do?

Collaborators get the same content-management access as the owner — they can add and edit the roster, spotlights, sponsors, schedule, and links. They can't delete the program, manage billing, or invite/remove other collaborators — those stay owner-only.

Can I remove a collaborator later?

Yes, at any time, from the same Team section where you invited them.

Billing & Payments

How do I pay for Pro?

Through Stripe's secure checkout — we never see or store your card details ourselves.

Is my payment information secure?

Yes — payments are handled entirely by Stripe, a payment processor used by millions of businesses. Your card details are never stored on our servers.

Do I need to remember to cancel Pro?

No — since it's a one-time payment for a fixed period rather than a subscription, there's nothing to cancel. It simply expires on its own at the end of the period you paid for.

Will I be charged automatically when my Pro period ends?

No. Nothing renews automatically. If you want to keep Pro features going, you choose to pay again; otherwise your program just reverts to Free with all your data intact.

Your Data & Privacy

Is my program publicly visible right away?

No — a new program starts as a private draft. Nothing is visible at its public URL until you explicitly click "Publish Program."

Can I take my program offline after publishing it?

Yes, at any time, with a "Take Offline" button that reverts it back to draft.

Can I delete my program?

Yes — the program owner can permanently delete a program from its Danger Zone. This can't be undone, so use it carefully.

What happens to my content if I delete a program?

Everything tied to that program — roster, spotlights, sponsors, schedule, links, and uploaded photos — is permanently removed along with it.

Technical

Does this work on phones and tablets?

Yes — both the program management screens and the public program page are designed to work on any modern phone, tablet, or desktop browser.

Do I need any special software to print the QR code page?

No — the QR code page is just a regular web page formatted for printing. Open it in your browser and use your browser's or printer's normal print function.
