What a printed program does well
Paper is a keepsake. Families tuck it into a scrapbook, grandparents don’t need a phone to read it, and there’s something about holding the senior-night page with your kid’s name on it. If a keepsake is the point of your program, print it.
Where printing breaks down
- It’s wrong the moment something changes. A game moves, a player is injured, a name was misspelled, a sponsor signs on the week of the event. Every printed copy keeps the old version.
- You pay for every run. A new print run for each season, each concert, or each home game adds up, and you pay before you know how many people will actually pick one up.
- The deadline is earlier than the event. Print shops need files days ahead, which is usually when you’re still chasing photos and bios.
- Leftovers get thrown away. Whatever doesn’t get handed out has nowhere to go.
What about making it in Canva?
A Canva template is a perfectly good way to lay out one nice page, and plenty of volunteers do exactly that. It solves the design problem, but not the other two: you still print it (so it’s still out of date the moment something changes), and every roster, bio, sponsor logo, and schedule row is something you place by hand.
A digital program flips that. The layout is built in — roster, spotlights, sponsors, schedule, links — so you’re typing content, not designing pages, and a fix is a one-minute edit that everyone sees.
How a QR-code program works
- You build the program online (free to start) and publish it.
- You print one QR code sign — we give you a ready-to-hang page — and post it at the entrance, the concession stand, or the scorer’s table.
- People scan it with their phone camera. It opens in the browser: no app, no account.
- You edit the program whenever you need to. Everyone looking at it sees the latest version.
You can also scroll a live sample program to see what your audience would see.
Side by side
| Printed (or Canva + print) | QR code + digital program | |
|---|---|---|
| When something changes | Reprint, or live with the mistake | Edit once; everyone sees it |
| Cost | Paid for each print run | Free to start; Pro is $5 / $10 / $25, one-time |
| Deadline | Before the print shop’s cutoff | Up to the moment people scan |
| Keepsake | Yes | Optional — Pro can export a printable PDF |
| Needs a phone | No | Yes (any phone camera) |
| Layout work | You design every page | Built in — you fill in content |
You don’t have to pick just one
Many organizers use the QR code for the full, always-current program and still keep a few printed copies for guests who prefer paper. The free QR invite page prints a ready-to-hang sign, and Pro can export the whole program as a PDF you can print at home or at the school office.
Costs depend on your print shop and run size, so we’re deliberately not quoting a number for printing — get a quote and compare it to our per-program pricing.
